Scheduling Your First Meeting
When you first visit our website, you might stumble across my Calendly link. This tool allows you to schedule various types of meetings, such as a meet and greet, options call, or clarity meeting. Calendly will show you available time slots, but I apologize if the selection appears sparse—our calendar fills up quickly, and we also need to allocate time for our background work to ensure we can present accurate and meaningful reports during your meetings.
Routine Meetings for Clients
Once you become a client, our goal is to set up routine meetings on a schedule that works for you—whether weekly, bi-weekly, or monthly. We typically use Google Calendar invites to set these recurring meetings. Here’s how it works:
Email Reminders: If you schedule using Calendly, you’ll receive an email reminder 24 hours in advance and a text message reminder 5 minutes before the meeting starts. We found that earlier text reminders often lead to people getting pulled into other tasks and forgetting about the meeting.
Google Calendar Invites: For routine meetings, we use Google Calendar invites. Unfortunately, these don’t come with text reminders, so we suggest setting a personal reminder 5 or 10 minutes before the meeting. The calendar invite contains the meeting link, which is the best place to join the meeting.
Annual Scheduling
We book all routine meetings one year at a time, from January through December. In the fall, we’ll schedule meetings for the following year. This approach allows us to accommodate any changes in your schedule or service plan adjustments. It also helps avoid the pitfalls of indefinite scheduling, which can be impractical.
Meeting Cancellations
If you can’t make a scheduled meeting, please send an email to let us know, even if it’s just an hour before. This opens up the time slot for another client who might need it.
Meeting Format
By default, we use Google Meet for our virtual meetings because it’s convenient, requires no extra installation, and works across various internet browsers. Here’s what you need to know:
Joining the Meeting: Click the link in your calendar invite to join the meeting. At the bottom of the screen, you’ll find a button to share your screen if needed.
Screen Sharing: Unfortunately, Google Meet doesn’t allow me to take control of your screen. For tasks like setting up bank feeds or exporting bank statements, we might use a free Zoom account, which allows me to take remote control while you watch to ensure transparency.
Additional Meetings
Even after becoming a client, you can use my Calendly link to schedule additional meetings if necessary. While I try to accommodate these meetings, repeated scheduling of out-of-scope meetings may require us to discuss an upgrade to your service plan.
