Definition and Tracking of "Accounting Tasks"
An Accounting Task is a granular, incremental unit of work performed on your behalf (typically taking 5–10 minutes). To maintain transparency, tasks are tracked via:
-
QuickBooks Online Audit Log: Simple QBO transactions (filtered by our team usernames) count as 1 task each.
-
Job Software Bill Entry: Construction management software entries (tracked via source PDF files saved in dedicated client project folders).
-
Bill Payments: Vendor bills processed on your behalf.
Additional tasks beyond the included 200 are billed in arrears at $5.29 per task.
The Affordability Index Cap
We are on a mission to deliver predictable, affordable accounting to residential construction companies. To protect you as you grow, we cap your maximum monthly invoice using our Affordability Index.
Your monthly fee is capped at a sliding percentage based on your Trailing Twelve Month (TTM) activity (calculated quarterly on a rolling cash basis to smooth out seasonal job spikes):
Trailing 12-Month Volume | Affordability Index % | Monthly Fee Cap Range |
|---|---|---|
Up to $2.8 million | Hard Floor Applied | $2,117 |
$2.9 – $4.9 million | 0.9% | $2,117 – $3,750 |
$5.0 – $11.9 million | 0.8% | $3,750 – $8,000 |
$12.0 – $24.9 million | 0.7% | $8,000 – $14,583 |
$25.0 – $100+ million | 0.6% | $14,583 – $50,000 |
Keep in mind: Your monthly invoice could be significantly lower than the Affordability Index Cap if we have minimal Accounting Tasks to complete in any given month.

Frequently Asked Questions
What's a Clarity Call?
A Clarity Call ($195) is an open-ended, 60-minute strategy session with an in-house CPA dedicated to residential builders and remodelers. We review your QBO file, job software sync, and financial reports, then build a clear roadmap for your business.
Bonus: The $195 fee is 100% credited back toward your first month of service when you sign up for a monthly plan. Here's an example agenda:
-
Mins 1–10: Introductions & Goals — Getting to know each other, discussing your business, and defining what you aspire to achieve.
-
Mins 11–15: Bank Feed Review — Checking QBO to see if all bank accounts and credit cards are linked, and reviewing unposted transactions.
-
Mins 16–20: Reconciliation Check — Reviewing Reconciliation Reports to ensure your accounts are reconciled correctly and up to date.
-
Mins 21–30: Job Software Deep Dive — Reviewing your BuilderTrend or JobTread setup to evaluate your use of budgets, purchase orders, scheduling, and bill pay processes.
-
Mins 31–40: Integration Review — Examining the synchronization between your job software and QBO to verify jobs, cost codes, and vendors are linked properly.
-
Mins 41–50: Financial Reporting — Analyzing your QBO Profit & Loss, Balance Sheet, and Chart of Accounts so your reports actually serve your decision-making.
-
Mins 51–60: Best Practices & Action Plan — Discussing office procedures to help you gain clarity, simplicity, and confidence in your finances.
Note: We can also substitute any part of this agenda for a topic that's higher priority to you
What is excluded from the Affordability Index calculation?
The Affordability Index applies exclusively to monthly recurring bookkeeping, job costing, and reporting services. Annual tax compliance returns (1120-S, 1065, 1040), on-site travel fees, pass-through software subscription fees, and out-of-scope special projects are billed separately as noted in our menu above.
How does the Affordability Index work if I pause service?
The Affordability Index requires consistent, year-round support from MyBuilderCPA. If you pause or terminate service voluntarily before the end of the calendar year, you will be billed for work performed that would have resulted in standard task billings above and beyond the discounted cap.
